Who can attend?  Do I need to be a physics major to apply? 

Any undergraduate may apply.  It is very important to complete all parts of the application and to write a thoughtful Applicant Statement. In case conferences are oversubscribed, priorities will be given to applicants who:

  1. Are undergraduate physics majors
  2. Have never attended an APS CUWiP
  3. Are applying to attend the conference that is geographically closest to their expected location January 13-15, 2017.


Are "application" and "registration" the same thing?

No. You apply to attend a CUWiP conference (the one closest to you), and you are accepted, wait-listed or declined according to the priorities listed above. Application is free, and the deadline is October 14, 2016, midnight ET. After you have been accepted, you then register with the conference to which you have been accepted (you may be assigned to a different conference depending on the number of applications) to confirm that you will actually be attending.


What is the difference between "application" and "registration"?

All students who are interested in attending a conference must fill out an application form. The application will be evaluated by the local organizing committee of the conference to which you applied, and you will be informed if you are accepted by the end of November. If you are accepted, you will then be asked to register and pay the $45 non-refundable registration fee. The purpose of the registration fee is to cover a small fraction of the cost of food and accommodations, and to minimize the number of students who register but then do not attend the conference thereby limiting the number of students who benefit from the conferences and wasting resources. Students who cannot afford the registration fee can contact APS at the time of registration to make an appeal to have the registration fee refunded/waived.


What if I cannot afford the $45 registration fee?

If you cannot afford the registration fee and your department/college is unable to help, you may request a fee waiver once you are accepted to attend (but before you register) by submitting submitting a statement attesting to your financial need and verifying that department or university funds are not available  Further details will be provided when you are invited to register for the conference.


Are there other costs (for the student) associated with the conference, in addition to the registration fee?

No, there is only the $45 registration fee, food, lodging (for non-local students) and tours will be provided by the conference. We expect that your travel expenses will be covered by your home department or college. However, if they are not able to cover these expenses, travel funding is available. 


What will increase my chances of being accepted?

Make sure you send in your application by October 14, 2016! On the application form, put some thought into the (short) essay question about why you want to attend the conference. Priority will be given to applicants who (i) are undergraduate physics majors, (ii) have never attended a CUWiP, and (iii) are applying to attend the conference that is geographically closest to their expected location January 13-15, 2017.


Do I have to present a poster to attend the conference?

No, it is not a requirement. If you have been involved in undergraduate research, however, we do encourage you to bring a poster - it will be a good opportunity to show your work in a professional environment.


Do I need to book my travel before registering? 

No, but you should have an estimate of the cost. If you are traveling by air and your travel cost is not covered by your department, your airfare must be approved by the conference organizers before you book your travel. Due to the limited nature of our travel funds, we ask that you find the most economical means of transportation to and from the conference.


I attended last year; can I come to this year's conference, too?

The content of this year's conference won't be exactly the same as last year's, so you can attend again. However, if we receive more applications than we can accommodate, preference will be given to students who haven't attended before.


I am a local student. Do I need to register? 

Yes, all attendees must register by the deadline.


Can I attend the xx CUWiP even though it is not my closest location/I am considering xx University for grad school and would like to visit the school?

Because of the high demand of students and travel costs of those who are not in our region, we will only be able to accept students who will be in the region at the time of the conference. This conference is not intended to be a graduate school visit.


I'm a student from Canada.  Can I apply to a U.S. site?

Students from Canada are encouraged to apply to the McMaster U. site in Canada .  Students from Canada may apply to closer U.S. sites if desired.  However Canadian students accepted to U.S. sites are not eligible for reimbursement of travel expenses from the conference or for waiver of the registration fee.


Travel and Accommodation


Can I come late? Can I leave early? Can I skip things that I'm not interested in?

Because your travel costs are reimbursable, it is expected that you will attend all of the conference events as scheduled. If you have special circumstances, please contact us to discuss them.


How can I get to Wayne State University?

The closest airport to Wayne State University is the Detroit Metro Airport (DTW) serviced by all the major US and international airlines. DTW is located 20 miles west of Wayne State University on I-94 at Merriman Rd. Rental cars are available at the airport. It is also possible to take various shuttle/taxi services like the Michigan Flyer or Uber from the airport to campus. Travel time from the airport to the campus is approximately 30 minutes.

If you are traveling by car, Wayne State University is located in midtown Detroit, accessible off I-94, I-75 and M-10. Detailed driving directions to the conference site may be obtained via Google Maps.

Trains go through Detroit many times daily to and from Chicago. To inquire about schedules or make reservations, you can call 1-800-USA-RAIL or 872-7245, or you can book online. The station is located at 11 West Baltimore Ave., not far from campus. 
Finally, Greyhound services Detroit from many locations throughout the United States. The telephone number for Greyhound is 800-231-222 or you can book online. The bus station is at 1001 Howard St. and is located approximately 2.5 miles from campus.


What will the accommodations be?

The participants will be hosted at the Greek-Town Casino Hotel located approximately 3 miles from the conference site. Participants will stay in double rooms, with one roommate. Scheduled transportation will be provided between the Hotel and conference site. Complimentary parking is available at the Hotel for participants driving in.


When will I get reimbursed for travel? 

After the conference, you can submit the reimbursement form that will be provided to you at the conference. Reimbursement forms must be returned to us no later than Jan 31, 2017. If you have any questions regarding travel reimbursement, please contact us at CUWiP_2017@wayne.edu.




What if I have dietary restrictions?

We will request dietary restriction information on the registration form. If you believe your dietary needs are unusual, please contact us and we will work to accommodate you.


What should I wear to the conference? 

The conference has no dress code, and we encourage students to be comfortable. There will be a plated banquet on Saturday evening, and many students enjoy dressing up for this event.  You may wish to look at photos of previous conferences to see what students typically wear.


Will there be resources available for attendees with disabilities?

 We will request information on disability status on the registration form.  Please contact us in advance if you have unusual requirements, and we will work to accommodate you.

Can I connect with those going to the conference before arriving?

Yes!  We have set up a Facebook page for exactly that purpose.


I have anxiety, depression, etc, and I am worried about attending this conference. What should I do?

Please contact us if you are uncomfortable so we are aware. We will encourage you to try your best during the networking opportunities, but if you need to be paired up with someone you know (either in rooming or meals), please let us know so we can try to accommodate you. We hope that you will be able to comfortably attend the conference and get something from it, but we understand that everyone needs to go at their own pace.
